In shortWhat managed IT costs, and what it covers

Many managed IT providers quote a price only after a discovery call. VirtuWorks publishes its prices instead: managed plans run $79.99 to $129.99 per user per month, and a management-only Entry plan starts at $9.99 per user. This guide walks through what each plan costs, what it includes, what costs extra, and the contract terms behind the price, so you can compare providers on real numbers.

What Each Plan Costs

Pricing is per user, per month. The biggest variable is whether Microsoft licensing is bundled in or you bring your own (BYOL), which also changes the minimum number of users.

  • Entry, $9.99 per user: the management platform only. Monitoring, patching, scripting, and automation run through VirtuWorks Autopilot, with no helpdesk or security services. Built for teams that want tooling, not a provider.
  • Co-Managed User, $79.99 per user (BYOL, 50-user minimum): for organizations with their own IT staff. VirtuWorks supplies the tools, visibility, security operations, and escalation depth while your team keeps the helpdesk. See how co-managed IT support splits the work.
  • Frontline User, $79.99 BYOL (50-user minimum) or $99.99 with Microsoft licensing (5-user minimum): for field service, retail, clinics, and shared-device staff who need secure access to a few essential apps.
  • Full User, $109.99 BYOL (50-user minimum) or $129.99 with Microsoft 365 Business Premium included (5-user minimum): the complete, fully managed plan for office, hybrid, and remote professionals.
  • Compliance and AI Readiness add-on, $59.99 per user (5-user minimum): layered onto a managed plan for firms with audit, regulatory, or AI-governance requirements.

What Every Managed Plan Includes

The per-user price covers the ongoing work of running and securing your environment, not just a helpdesk seat. On the Frontline and Full User plans, that includes:

  • A 24/7/365 US-based helpdesk, with a 1-hour response to urgent issues and a 4-hour response to standard requests.
  • 24/7 managed incident detection and response.
  • A fractional vCIO for technology planning, at no added cost.
  • Microsoft 365 tenant security baseline hardening and MFA compliance monitoring.
  • Patching, device monitoring, and automated remediation through VirtuWorks Autopilot.
  • Automated user onboarding and offboarding, backup monitoring, and asset management.
  • Documentation of your environment and self-service visibility through the VirtuWorks Control Panel.

That scope is what separates managed IT services from a break-fix contract: the provider is paid to prevent problems, so it has no incentive to let tickets pile up.

What Costs Extra

No per-user plan honestly covers everything, and a provider that claims otherwise is usually hiding the exclusions in the contract. These are the items billed separately:

  • On-site visits: billed per visit, so you pay for a technician on site only when you need one. In South Florida, engineers arrive the same day, or within four hours for urgent issues.
  • Security awareness training and compliance management: add-ons on the core plans, both included in the Compliance and AI Readiness add-on (training at 25 or more users).
  • Microsoft licensing on BYOL plans: you keep buying it yourself. Some security tools, such as Microsoft Defender for Business endpoint protection, come bundled with the licensed plans and are customer-provided on BYOL.
  • Hardware and migrations: new devices are quoted separately. Server and cloud migrations are handled within the engagement for clients on a managed IT plan; for businesses without one, a migration is quoted as a separate project.

Contract Terms Behind the Price

A low monthly price means little if the contract locks you in. VirtuWorks plans carry no long-term contract and no exit penalty; you can cancel with 60 days’ written notice. When a client leaves, transferring its data is standard practice, and data is kept for 90 days before deletion so nothing is lost in the handover.

Onboarding is free on every managed plan and averages about 60 days, following the structured workplan described in our managed IT onboarding methodology.

How to Compare Quotes From Other Providers

Put every quote on the same footing before comparing totals. Ask each provider:

  • Is pricing per user or per device, and what happens when headcount changes?
  • Which services are excluded, and what does each exclusion cost?
  • Are after-hours and weekend requests included, or billed hourly?
  • What is the minimum term, and what does it cost to leave early?
  • Who owns the documentation and admin credentials if you part ways?

The answers usually matter more than a $10 difference in the headline price. Our plan comparison and instant quote builder shows every inclusion and add-on line by line.
